Primary responsibility for reporting the results of Sea Grant projects rests with the principal investigator(s). Congress has mandated that all researchers who receive federal funds from the National Sea Grant College Program must publish research results and distribute them to as wide an audience as possible. Project progress reports must be submitted via UW Sea Grant's interactive Project Reporting Online (iPRO) system by August 1 each year, and project completion reports are due within six months of the termination of project funding. Please keep the UW Sea Grant Communications Office informed of all major developments in your project and all resulting publications resulting from your project so that we can convey this information to NOAA Sea Grant and, when appropriate, to other audiences. If you've reached an appropriate time to produce a publication, see submitting a manuscript. First and foremost, you are encouraged to seek publication of project results in the professional journals of your field. The Communications Office will pay any publication charges (a.k.a. page charges) and, if necessary, purchase reprints of refereed research articles that are based on and properly acknowledge UW Sea Grant support. You are also encouraged to seek publication in related media, such as trade journals, magazines and newspapers. UW Sea Grant Communications staff can help you prepare magazine articles and news releases about your work, and they can assist you in dealing with the news media and in making radio and television appearances. We can also help you with preparing materials for professional papers and presentations, with publicizing your conferences and workshops, and with photographing or videotaping your work. Dont pay journal publication costs ("page charges") nor purchase reprints with your research money! Let the Communications Office handle these matters for you. We will pay the page charges (if any) and buy reprints (if necessary) of any article based on UW Sea Grant research that is published in a refereed professional journal under two conditions:
Most journals today offer authors either a free quantity of reprints, or provide a digital copy of published papers in portable document format (PDF). Effective March 1, 2006, the UW Sea Grant Communications Office will purchase reprints of science journal articles only when free reprints or a digital copy of the article are unavailable. If neither is provided by a journal, the Communications Office will purchase the minimum quantity of reprints on behalf of the author(s). Project principal investigators are required to upload a PDF copy to iPRO or provide five print copies of all journal articles resulting from their Sea Grant-support work while their project is in progress or upon submitting their project completion report to Terri Klousie at the UW Sea Grant Institute. If an article does not include the complete acknowledgement of Sea Grant support, please attach a note with the numbers of the federal grant(s) and Sea Grant projects(s) on which the article was based (see below). The following acknowledgement of Sea Grant support must accompany all reports on work carried out wholly or in part with funding from the University of Wisconsin Sea Grant Institute:
Note: We may not pay the page charges of the publication of a journal article nor are we obligated to purchase reprints or to pay for the publication of any report that does not acknowledge UW Sea Grant support, even if it is based on Sea Grant-funded research. See the table below for the appropriate federal grant number. Use the number for the most recent year in which your UW Sea Grant project was supported.
If you're unusure of which grant number to use, contact Daniel Marklein by email (or call (608/263-3252) to obtain the correct number of the federal grant that supported your project. If you know your project number and/or University of Wisconsin fund/account number, please have it available when you contact us. Every print and electronic publication produced by the UW Sea Grant Institute includes a notice of copyright on behalf of the Board of Regents, University of Wisconsin System. All materials produced by university employees with UW Sea Grant support are considered "works for hire," and all copyrights, as noted, belong to the University of Wisconsin, not the individual employees. Copyrights for articles published in professional journals generally belong to the journal that first publish them. Unless you negotiate an agreement to the contrary beforehand, reprinting or publishing these articles elsewhere requires the written permission of the original publisher and sometimes the payment of a fee as well. In any case, the U.S. Government reserves the right to reproduce and distribute for governmental purposes any article or publication resulting from Sea Grant-supported work, notwithstanding any copyright notation that may appear thereon. Each UW Sea Grant publication is distributed to a list of university and public libraries in Wisconsin, regional organizations, NOAA Sea Grant and the National Sea Grant Library, a searchable library of all Sea Grant-supported journal articles, publications and other products. The Communications Office promotes distribution of UW Sea Grant publications through our Aquatic Sciences Chronicle newsletter, new publication announcements, press releases, advertisements, posters and catalogues. We urge you to call on the Communications staff to assist you in dealing with the news media. We can help you prepare news releases about your activities and give you tips about talking with reporters and appearing on radio or television. Please send us copies of all news releases issued in connection with your UW Sea Grant work, and keep us informed of new items stemming from your Sea Grant activities. If you see any newspaper, newsletter or magazine article that cites your work or mentions Sea Grant, we would appreciate a clipping or photocopy of it for our files. Publication
